  • Client Data: Information you enter into the CRM about your clients, including names, contact details, appointment history, and service preferences.
  • Payment Information: Billing details processed securely through our third-party payment processor (Square). We do not store your full credit card numbers on our servers.
  • Communication Data: Messages sent through our platform, including SMS messages (via Twilio) and emails.
  • Usage Data: Information about how you interact with our platform, including log data, device information, IP address, and browser type.

Google Account Data

When you choose to connect your Google account to MySunless, we request access to specific Google services to provide integrated features. Here is exactly what we access and why:

Gmail (Send Email Permission)

We request the gmail.send permission to send emails on your behalf directly from your connected Gmail account. This is used to send appointment confirmations, reminders, and client communications from your own email address. We do not read, scan, index, or store the contents of your inbox or any emails. We only use this permission to send outbound messages that you initiate through the MySunless CRM platform.

Google Calendar (Read/Write Permission)

We request access to your Google Calendar to sync your CRM appointments. When you create, update, or cancel an appointment in MySunless, it is automatically reflected in your Google Calendar. We only create, update, and delete calendar events that originate from MySunless. We do not read, modify, or delete any of your existing personal calendar events.

Google Profile Information

We request your basic Google profile information (name and email address) solely to identify which Google account is connected and to display it in your MySunless settings. This information is not shared with third parties.

Google Data Storage and Security

Your Google OAuth tokens (the credentials that allow MySunless to act on your behalf) are stored securely in our encrypted database. These tokens are never shared with third parties. You can disconnect your Google account at any time from your MySunless settings, which immediately deletes all stored Google tokens and revokes our access to your Google account.

MySunless’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the MySunless CRM platform
  • Process your transactions and manage your subscription
  • Send appointment confirmations, reminders, and notifications
  • Sync your appointments with your connected Google Calendar

We retain your account and CRM data for as long as your account is active or as needed to provide you services. If you cancel your account, we will delete or anonymize your data within 90 days, except where we are required to retain it for legal or regulatory purposes. Google OAuth tokens are deleted immediately upon disconnection of your Google account.

Data Security

We implement industry-standard security measures to protect your data, including SSL/TLS encryption for all data in transit, encrypted database storage, secure authentication, and regular security updates. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

Cookies

We use cookies and similar technologies to maintain your session, remember your preferences, and improve your experience on our platform. Session cookies are deleted when you close your browser. Persistent cookies (such as login preferences) remain until they expire or you delete them. You can control cookie settings through your browser preferences.
